Finding the right referral pathway

Mental illness affects every patient differently and requires different support and treatment. The Royal offers many programs and clinics that treat a wide variety of mental illnesses. Each program or service has its own criteria around eligibility and who can make the referral on behalf of an individual.

Please note that due to the high demand for mental illness and addiction services, there can sometimes be a wait.

Submitting a self-referral

Only a handful of programs offered at The Royal accept self-referrals. Individuals can find self-referral information for the following services on their program pages:

All other programs require a referral by a health care provider.

If you are seeking services at The Royal, reaching out to your primary care provider is a good first step. They can assess whether The Royal may be the right place for you.

You can also visit AccessMHA, a regionally coordinated service that helps people in Eastern Ontario find services for mental illness and addiction.

Making a referral on behalf of a patient

Most services at The Royal require referrals to be submitted by a health care provider or community partner.

Health care providers include:

  • Primary care providers (general practitioners, nurse practitioners, and family physicians)
  • Clinicians from emergency departments and community clinics
  • Psychiatrists
  • Psychologists

Central intake

Referrals for some programs at The Royal are handled by the central intake team. The team works with medical staff at The Royal to identify which program is best suited to the individual, using information shared in the submitted Central Intake Referral Form.

The following programs or services are available through the central intake process:

** The Central Intake team will only consider referrals to the inpatient Mood/Anxiety, Schizophrenia and Youth Programs if patient is a transfer from another hospital’s inpatient unit. The Royal does not accept inpatient referrals for these programs from primary care physicians.

Alternate referral methods

Other programs, clinics and services may require referrals to be completed using a different method: by phone, email or completing a different intake form.

Some programs also allow for referrals to be submitted electronically from your EMR if you have been set up with Ocean eReferral.

The Royal does not provide emergency services

If your patient is in immediate danger or too ill to wait for assessment, contact a psychiatric crisis service, hospital emergency room or the Mental Health Helpline at +1 (866) 531-2600.

Referral process

Step 1: Referral is received.

Step 2: Once a referral is received, our team ensures that all necessary information is included.

Step 3: The screening process may involve seeking clarification on the information provided, requesting additional details, and occasionally conducting an in-person (or virtual) assessment.

Step 4: Our team carefully reviews each referral to ensure you are matched with the program best suited to your needs. If we determine that another care provider would be a better fit, we’ll share all the information and guidance you need to connect with them easily. We understand that waiting for referral results can be stressful, and we want to reassure you that we will contact you as soon as a decision has been made. Our goal is to make sure you receive the most appropriate and effective care possible.

It’s important for patients to attend all scheduled appointments. During orientation or your first visit, we will explain our policies for missed appointments. We encourage all patients to review these guidelines to help ensure their treatment continues without interruption.

Commonly asked questions

AccessMHA, a regionally coordinated service that helps people in eastern Ontario find services for mental illness and addiction. AccessMHA can also connect clients to a person with lived expertise to better help understand the process and recommend other peer-based services.

Ocean eReferral is a regional program that offers an integrated solution at no cost for all primary care providers in Champlain with compatible EMRs (Telus PSS, QHR Accuro, and certain versions of OSCAR). Once set up, referrals can be initiated directly from the patient's chart in your EMR, launching the appropriate electronic referral form and automatically populating it with much of the appropriate information for the patient and referring clinician.

Health care providers general practitioners, nurse practitioners, family physicians, clinicians from emergency departments and community clinics, psychiatrists, psychologists and other health care specialists.

General practitioners, nurse practitioners and family physicians are often referred to as primary care providers.

Inpatient services provide care for individuals who need to stay at the hospital for continuous monitoring, assessment or treatment—typically for more intensive or acute mental illness needs.

Outpatient services offer care to individuals who live at home and attend scheduled appointments for therapy, assessment or treatment. These programs provide support while allowing people to continue their daily routines and responsibilities.

The Royal offers programs, clinics and services that address a wide range of mental illnesses. Each is run by specialized health care professionals. Treatment and services are different for every patient—even for those who are part through the same program. These factors make the referral process complex. To best address every individual’s specific needs, some programs have their own referral, intake and assessment criteria. All other programs require referrals through the central intake process.

Before your appointment, think about your mental illness concerns and how they’re affecting your daily life, work or relationships. Write down your symptoms, any treatments or supports you’ve tried and what kind of help you’re hoping to receive. If you’re seeking a referral to The Royal, let your doctor know. Bring any relevant medical records or previous assessments to support your request and help guide the referral process.

The intake time varies. Each referral to The Royal is triaged through the appropriate department. Some urgent programs move more quickly than others, and you may be asked for more information during the process.

When a referral is accepted, you will receive information about your first appointment. If your consultation determines that The Royal is not the best fit for treatment, your referring practitioner will be contacted and other treatments may be presented.

The health provider who submitted your referral will be notified of the outcome of your referral through the same method used to send it to us (fax, OCEAN, or AccessMHA) A decision on your referral will be made within 2 weeks. If your referral is accepted, it will be forwarded to the appropriate program. Please note that wait times to be seen varies by program.
